Get the Word Out!

MCC Employees and Students: want to get the word out about an event, activity, program or service? Follow the steps below.

1. Post it to the MCC Intranet to share with MCC employees.

A college-wide email is sent each business day summarizing content posted to the Intranet the previous business day. For help click here.

2. Complete the "Get the Word Out" form below.

The form prompts the IA team to post your message on the following, if appropriate:

  • Electronic Marquees
  • Electronic Bulletin Boards (TVs)
  • Social Media

Please provide a minimum of three-four weeks notice. Your event must meet the criteria below related to the media on which it is posted.

If you include a flier with your "Get the Word Out" form, it must be free of grammar and spelling errors (have one or more people proofread it for you). It must also contain the items below per the Brand Standards. The District logo, positioned and sized appropriately (no smaller than 1.25 inches), should be included whenever its inclusion will not hinder the message or graphic appeal of the document. Fliers that do not meet these specifications will not be used.

  1. MCC logo – positioned and sized appropriately, no smaller than 1.75 inches.
  2. Non-Discrimination statements – full statements must be included on all materials 8.5" x 11" or larger that may be seen by students. Spanish only or bi-lingual documents must also include the statements in Spanish. Both versions are available at the link provided. Materials containing MCC or MCCCD branding need the non-discrimination statements. If approved by IA., for student-facing-only materials smaller than 8.5" x 11" a modified version of the non-discrimination statement may be used. Click here for the non-discrimination statements.
  3. District logo – (positioned and sized appropriately, no smaller than 1.25 inches) whenever its inclusion will not hinder message or graphic appeal of the document.

You are also highly encouraged to include an accommodation statement on your materials. MCC is obligated by federal and state laws to ensure program accessibility to persons with disabilities, to provide reasonable accommodations to afford access, to remove barriers to full participation, and to modify policies, practices, or procedures as necessary to afford access for an individual.

The statement should include the contact information for the event planner. Here are some examples:

  • We strive to host inclusive, accessible events that enable all individuals, including individuals with disabilities, to engage fully. To request an accommodation or for inquiries about accessibility, please contact (name) at (phone and email).
  • Persons with disabilities who anticipate needing accommodations or who have questions about physical access may call [telephone number of the sponsor] in advance of the program [or film, event, etc.].
  • It’s our policy to make information accessible to all MCC students, faculty, staff, and the general public. If you require this material in an alternate format, please contact the Disability Resources and Services at 480-461-7447.

3. Post your event to MCC's Event Calendar, 25Live Pro.

Be as descriptive as possible because this will be your entry on MCC's official Calendars website. An entry in 25Live Pro is needed even if you're using a space your department manages.

4. Optional – Submit an Article to The Maricopan.​

Criteria

Submission Guidelines - applies to all

  • Messages must be submitted three weeks prior to the time they appear on media.
  • Individuals who submit messages are responsible for content and must alert the IA staff at 480-461-7794 when changes in the time or date of an event occur.
  • Events must take place on MCC campus and be hosted by an MCC department.
  • Messages are subject to the Technology Resource Standards and Acceptable Standards for District-Wide Message Posting set forth by the Maricopa County Community College District.

Electronic Marquees

The marquee at the Southern and Dobson campus is located on Dobson Road adjacent to the Library. The Red Mountain marquee is on Power Road north of McKellips.

Types of information that will be posted

  • MCC events, activities, programs/career pathways, or services that are open to the public and/or are sponsored by MCC.
  • Congratulatory messages for college-wide outstanding achievements.
  • Public service announcements that affect the surrounding community.

The marquee may not be used for advertising individual classes or community public events that are not affiliated with the college. Only new classes/programs will be advertised. IA reserves the right to edit submissions for length, punctuation, formatting and images.

Electronic Bulletin Boards

Electronic bulletin boards are located in hallways and gathering areas throughout MCC's campuses. The same messages appear at all campuses, so make sure to include campus location information.

Types of information that will be posted

  • MCC events, activities, programs/career pathways, or services that are open to the public and/or are sponsored by MCC.
  • Congratulatory messages for college-wide outstanding achievements.
  • Public service announcements that affect the surrounding community.

Format

  • Images must be 1280 px by 720 px (JPEG) and landscape orientation
  • Videos must be H.264 codec (mp4 or mov) 1280 px by 720 px, 30 fps, and landscape orientation

The electronic bulletin board may not be used for advertising individual classes or community public events that are not affiliated with the college. Only new classes/programs will be advertised. IA reserves the right to edit submissions for length, punctuation, formatting and images.

Social Media

Mesa Community College will share items submitted via the event form on the college Facebook page. Additionally, Institutional Advancement has developed the following information to help you plan and develop your own Social Media outlets for your department, club or committee:

Event Calendar

MCC uses 25Live for its Events Calendar. (It is also the tool for reserving MCC Facilities and Resources). When entering your event in 25Live, be sure to include a full description and select if your event is open to the public and other key audiences so that it appears on the college's various calendars. Events may be featured on MCC's Events and News web page if the:

  • Event or activity is sponsored by MCC, its programs, services, and/or recognized clubs
  • Event is open to the public

The MCC Event Calendar may not be used for advertising campus classes or advertising community public events that are not affiliated with the college or college facility space.

Photography

The responsibility for event photography has shifted from Institutional Advancement to individual departments, student organizations, and clubs. Additional information is available on the Photography Services and Guidelines document.

College-wide Email

College-wide email is reserved for crisis communication and important messages from the President, Cabinet, Institutional Advancement, College Police and Intranet update announcements. Attempts to send messages to the college-wide email list and replies to the account will only be seen by account administrators.
