Photography Services & Guidelines

What will Institutional Advancement (IA) photograph?

  • Large scale events with high PR value, unique campus shots, and high profile dignitaries.
  • Still, posed head/shoulders photos, staged presentation/groups (e.g., new employees, awards and recognitions, publicity for presentations).
  • Photos to support external media stories and pitches.
  • Photos to be used in marketing campaigns.
  • Images to accompany social media.
    • Please note: IA frequently collaborates with the Media Services - Video Production team for photo and video needs. Requests are coordinated through IA and Service Now - Once you are logged in to Service Now, click "Requests" then select "Request Something,” then on the left navigation select "Services." That brings up a menu to request video/photography.

Event Photography

The responsibility for event photography has shifted from IA to individual departments and student organizations and clubs. This is largely due to:

  • Staffing limitations.
  • Requirements for photo releases.

Cell phones that have high quality cameras are a great option for departmental use.

Some considerations for event photography

Some considerations for event photography:

  • How will the photos be used?
  • Will the photos have publicity value?
  • Is the photographer well versed in photo permission guidelines and prepared to gather photo permission for everyone photographed?

Photo Release Forms Required

It is the responsibility of the person/department requesting photos be taken to ensure photo permission is obtained by everyone photographed OR THE PHOTOS MAY NOT BE USED.

Any identifiable individuals in posted photos must sign approved District release forms. Release forms are the responsibility of the posting department and should be kept on file permanently according to the Records Retention Schedule issued by the Arizona State Library, Archives and Public Records Division. Release forms are available on the forms-logos-maps page.

*Even with a release form, DO Marketing believes any request to remove an image from social media or an advertisement should be honored (as timely as possible) regardless of photo release status.

Photo and Video Release Banner

If you are planning a student event, orientation, or campus activity where photos or videos will be taken, our Photo and Video Release Banner is a professional and compliant way to notify attendees that media may be used for internal college communications or social media.

Our Photo and Video Release Banner are intended for the following instances:

  • When taking group photographs or videos outdoors on a campus where many individuals are present with no reasonable expectation of privacy and the use of the photo/video is for non-paid promotional purposes (internal sharing or social media)
  • At a large event, such as graduation or convocation
  • If a photo or video is being taken for informational purposes (for example, something considered newsworthy)
  • A person appears in a photo or video unintentionally and is not identifiable.
  • When an employee is performing work in the course of their normal job duties

Please note that the Photo and Video Release Banner is not appropriate for all photo and video situations. Please use our District Office-approved Photo Release form if your circumstance falls under any of the following descriptions: 

  • When a photograph or video is being taken in a closed environment (for example, a classroom)
  • When a photograph or video is being posed and intentionally taken to feature individuals who would be easily identifiable
  • Anytime the photo or video will be used in promotional materials, paid or otherwise (flyers, website, billboards, etc.)
  • When an employee is being asked to participate in a photo or video that is not part of their regularly scheduled job duties

Pick-Up Instructions

After you’ve filled out the Request Form, our department will set the banner aside for you to pick up on the indicated pick-up date. You can pick it up at the Institutional Advancement office (Building AS4, room AS136, west side).
